SaaS LIMS: what it is and why labs are moving to the cloud

A SaaS LIMS is a laboratory information management system delivered over the internet as a subscription. The vendor hosts, updates and backs it up, and your team and your clients use it in a browser. It is also called a cloud LIMS, a web-based LIMS or a LIMS SaaS. Compared with an on-premise LIMS, you skip servers and upgrade projects, and you can start in steps.

What is a SaaS LIMS?

SaaS stands for software as a service. Applied to a LIMS, it means you do not buy software and install it on your own servers. You subscribe, log in and work. "SaaS LIMS" and "LIMS SaaS" mean the same thing. So do "cloud LIMS" and, in most cases, "web-based LIMS".

SaaS vs on-premise vs hosted LIMS: what is the difference?

What are the benefits of a SaaS LIMS?

  • No servers to run. No hardware, no backups to manage, no patching on your side.
  • A start in steps. Intake first, then reporting, then invoicing and the customer app, while the lab keeps running.
  • Updates without an upgrade project. You are not stuck on a version from five years ago.
  • Access from anywhere. The lab, the field team and the office all use the same system in a browser.
  • Clients can join. A customer app that runs in any browser, with nothing to download, lets clients order and follow samples without a phone call.
  • Predictable cost. A subscription is easier to plan than a large upfront licence and upgrade budget.

What should you check before choosing a SaaS LIMS?

A cloud system does not remove your responsibility for your data. Ask:

  1. Where is the data hosted, and who can access it? Ask for the provider and the region in writing.
  2. How is data backed up and recovered? Ask for the vendor's continuity and recovery plan.
  3. What documentation supports your validation? Accredited labs evaluate software inside their own quality system. Ask what the vendor provides.
  4. Is there a full audit trail? Every change should be logged with who, what and when.
  5. Can you export your data? Know the format before you sign.
  6. How are access and roles controlled? Particularly if clients log in.
  7. What are the support terms and response times?

Is a SaaS LIMS suitable for accredited labs?

Yes, many accredited labs run cloud software. Accreditation under ISO/IEC 17025 applies to your lab's system as a whole, and you remain responsible for showing that your software is fit for purpose. A good vendor helps you do that with documentation and a clear change process. Ask for it before you sign, not after.

How does Milva Lab work as a SaaS LIMS?

Milva Lab is a cloud LIMS for environmental and building investigation labs.

  • Cloud-hosted, no local installation. Your team works in the browser, and your clients use the customer app in any browser with no download.
  • GDPR compliant. A data processing agreement is available on request, and we explain how sample data and client identities are handled.
  • Daily data backups on every plan, and an optional local backup to OneDrive, Google Drive or Dropbox.
  • Free updates and dedicated support are included.
  • A start in steps, typically live within a couple of months, with no IT department needed and a data migration service for labs moving from Excel or an older LIMS.

See pricing for what each plan includes.

Key takeaways

  • SaaS LIMS, LIMS SaaS and cloud LIMS describe the same model: hosted by the vendor, used in a browser, paid by subscription.
  • The benefits are no servers, a start in steps, updates handled for you and clients who can join.
  • You still need to check data location, backup, validation support, audit trail and export.
  • Accredited labs can use cloud systems, as long as they can show the software is fit for purpose.

Frequently asked questions

What is a SaaS LIMS?

A LIMS that the vendor hosts and runs, delivered as a subscription. You use it in a browser, with no servers or installation on your side.

Is SaaS LIMS the same as cloud LIMS?

In practice, yes. Both mean the vendor hosts the system and you access it over the internet.

Is a cloud LIMS secure and GDPR compliant?

That depends on the vendor and how access is controlled. Ask where data is hosted, how it is backed up, how roles are managed, for the vendor's security policy and for a data processing agreement. Milva Lab is GDPR compliant and provides a data processing agreement on request.

Can an ISO 17025 lab use a SaaS LIMS?

Yes. Your lab is responsible for showing the software is fit for purpose, and the vendor should provide documentation and a clear change process to support that.

How is SaaS LIMS pricing different?

You pay a subscription instead of a large upfront licence. Models vary: per user, flat, or per sample with price falling as volume grows. See LIMS pricing and cost.
