LIMS pricing: what a LIMS really costs and how to compare quotes

The cost of a LIMS is the licence or subscription plus onboarding, data migration, validation, integrations, support and the cost of your team's time. Prices vary widely by vendor and scope, so no honest single number exists. The pricing model matters more than the headline price: pricing that follows your sample volume and revenue grows with you, while per-user and large fixed fees make you pay for size before you have it.
What does a LIMS cost?
Ask every vendor for a three-year total, not a first-year price. These are the lines to get in writing:
| Cost line | What to ask |
|---|---|
| Licence or subscription | Per user, per sample, per instrument or flat? What does it include? |
| Onboarding and implementation | Fixed fee or days? Who does the work? Is travel on top? |
| Data migration | Is it included? From which formats (Excel, an old LIMS)? |
| Validation and documentation | What do you receive to support your own quality system? |
| Integrations | Accounting, instruments, courier. Standard or extra? |
| Minimums | Is there a minimum monthly volume that is charged whether used or not? |
| Support and updates | Included in the subscription? Response times? |
| Add-ons | Which features are extra? Are they priced per year? |
| Price changes | What happens to the rate when volume grows, or when the contract renews? |
| Exit | Can you export your data, and in what format? |
What are the main LIMS pricing models?
| Model | How it works | Watch out for |
|---|---|---|
| Per user | Pay for each login | Shared logins, a weak audit trail, rising cost as the team grows |
| Per instrument | Pay per connected device | Gets expensive in labs with many instruments |
| Perpetual licence plus maintenance | Large upfront fee, annual maintenance | High entry cost, upgrade projects |
| Flat subscription | One recurring fee | You pay the same whether you run 200 or 2,000 samples |
| Per sample, falling with volume | Price per sample drops as volume grows | Check the minimums, and what is included |
Why should LIMS pricing follow your sample volume?
Because your revenue follows your sample volume. A lab that processes more samples earns more. A price per sample means the cost of the system grows with the income it helps you earn, and a lab with low volume is not pushed to pay for volume it does not have.
It is also why we price Milva Lab this way. We grow when your samples grow, so we want your lab to grow. We say it plainly: that is not the same as "pay only for what you use". The Core plan has a minimum of 200 samples a month, and we state it up front.
How does Milva Lab price its LIMS?
Our pricing is published on the pricing page, and the price calculator estimates your cost by volume. In short:
| Core (start with one lab) | Enterprise (multiple sites) | |
|---|---|---|
| Year 1 | From EUR 6,699 (50,000 kr.), onsite onboarding included, travel expenses extra | From EUR 19,999 (150,000 kr.), multi-site onboarding included, travel expenses extra |
| From year 2 | From EUR 3,350 a year (25,000 kr.) | From EUR 6,700 a year (50,000 kr.) |
| Per sample | EUR 3 (22 kr.) falling to EUR 2 in volume bands (see below) | Volume-based, on top of the licence; the calculator uses the Core bands as a guide |
| Minimum volume | 200 samples a month | 1,000 samples a month |
| Add-ons | Packaging and local data backup, each from EUR 2,000 a year | Included |
| Automatic invoicing | 1% of the invoiced amount, before tax | See the pricing page |
On every plan: unlimited users, dedicated support, free updates, cloud infrastructure and daily data backups. Custom features are scoped and priced individually, and Enterprise adds custom integrations, single sign-on and ERP and CRM integration. A data migration service is available for labs moving from Excel or an older LIMS.
How do the per-sample volume bands work?
The sample fee falls in bands, and each rate applies only to the samples inside its band, so your first samples cost the most. Per year, on the Core bands (checked in the price calculator):
| Samples per year | Rate per sample |
|---|---|
| First 8,000 | EUR 3 |
| 8,001 to 15,000 | EUR 2.50 |
| 15,001 to 40,000 | EUR 2 |
| Above 40,000 | Contact us for a quote |
A worked example for the sample fee alone, at 20,000 samples a year: 8,000 x EUR 3 = EUR 24,000, plus 7,000 x EUR 2.50 = EUR 17,500, plus 5,000 x EUR 2 = EUR 10,000. That is EUR 51,500 in sample fees, an average of about EUR 2.58 per sample, before the licence, automatic invoicing, add-ons, tax and travel. The calculator adds those for you.
How do you compare two LIMS quotes?
- Convert both to a three-year total. Include onboarding, migration and any minimums.
- Run both at your volume today and at double. Which one gets cheaper per sample, and which gets more expensive?
- Count the people. If a quote is per user, multiply by everyone who will log in, including part-time staff and clients.
- Check what is outside the quote. Integrations, validation support and travel are common extras.
- Ask what you can take with you. An easy export is part of the price.
What are the hidden costs of a LIMS?
- Your team's time during setup and migration.
- Retyping if the LIMS does not connect to ordering or invoicing, which is a running cost that never shows on a quote.
- Configuration work if the system was built for another type of lab.
- Per-seat growth when you add staff or open a site.
Is there a free LIMS?
Open-source options exist. The software may be free, but hosting, setup, validation, support and updates are not, and in practice they become your lab's job. Count that time before calling it free.
Key takeaways
- Compare three-year totals, not first-year prices.
- Ask about onboarding, migration, validation, integrations, minimums and exit.
- Per-user pricing limits adoption. Pricing that follows your sample volume grows with your revenue.
- "Free" software has costs. Count your team's time.

Frequently asked questions
How much does a LIMS cost?
It depends on the vendor, scope, volume and rollout, so any single number is misleading. Ask for a three-year total that includes onboarding, data migration, minimums and support.
What is the cheapest way to buy a LIMS?
The lowest total over three years, at your volume today and at double. That is usually not the lowest licence price.
Is per-sample pricing cheaper than per-user pricing?
It depends on your team size and volume, but per-sample pricing follows your income and does not penalise adding users. Run both models at your volume.
What does LIMS onboarding cost?
Vendors charge a fixed fee, days at a day rate, or include it. Ask what is covered, whether data migration is included and whether travel costs extra.
Why does a LIMS have a minimum monthly volume?
Minimums let a vendor offer lower per-sample rates. Ask what the minimum is and whether it is charged when you do not reach it.
