LIMS partner vs vendor: why your LIMS should help you grow

A LIMS vendor sells you software and moves on. A LIMS partner earns more when your lab does more: more samples, more clients, more repeat orders. The difference shows in the pricing model, in the onboarding, in whether the system helps your clients choose you, and in whether the vendor can show you which customers drive your work.

What is a LIMS partner?

A LIMS partner is a software supplier whose own results are tied to yours. That can be literal, as when the price follows your sample volume, or practical, as when the system helps you win and keep clients. The test is simple: if your lab has a good year, does your LIMS supplier have one too?

Most LIMS contracts do not work that way. A large licence fee is paid on day one, a maintenance fee follows, and the supplier's incentive is to sell the next module. A partner model flips the incentive.

Six signs of a commercial LIMS partner

1. Pricing follows your volume. A price per sample that falls as you grow, instead of a flat fee or a charge per user. The supplier grows when your samples grow.

2. Plain terms. Minimums, onboarding and add-ons are written down before you sign. "We grow with you" should not hide the small print.

3. Onboarding built around your workflow. Data migration is planned and included, and you go live in steps while the lab keeps running.

4. The system helps your clients choose you. A customer app where clients order and follow samples, a branded report and fast invoicing. These make your lab easier to buy from, which is the commercial result you want from software.

5. It shows you your customers. Customer groups with their own prices, and a view of who orders and who uses the customer app. A supplier that helps you understand your customers is working on your growth, not just your records.

6. You can leave. A partner is confident enough to let you export your data. Ask for the format.

What questions should you ask a LIMS supplier before you sign?

  • If my volume doubles, what happens to my cost per sample?
  • What is the monthly minimum, and is it charged if I do not reach it?
  • What is included in onboarding, and does it include data migration?
  • Show me how a client orders, how the report goes out and how the invoice is generated.
  • Can I group customers and set a different price for each group?
  • How would I see which customers order more, and which use the customer app?
  • What do I get if I leave?

What does a LIMS partner mean for the owner and the lab manager?

Different things, and a good partner serves both.

For the owner or commercial lead: a system that makes the lab easier to choose, shows where work comes from and gets invoices out when reports are approved.

For the lab manager: less admin and more science. Complete orders, a visible backlog and fewer status calls, with a start that does not stop the lab.

How does Milva Lab work as a commercial partner?

We built Milva Lab as a LIMS for environmental and building investigation labs with the commercial layer inside it. You pay per sample, the price falls as volume grows and users are unlimited. We state the minimums plainly: the Core plan has a minimum of 200 samples a month, and the full terms are on the pricing page. We say "we grow with you" because it is true of how we are paid, and we do not claim it means you only pay for what you use.

We also never promise customers. What we focus on is the customer experience: your clients order easily, follow their samples and receive a branded report. The labs we work with expect more customers and more samples per customer, because their clients get more value and ordering is easy.

Key takeaways

  • A vendor sells software. A partner grows when your lab grows.
  • Six signs: pricing that follows volume, plain terms, onboarding around your workflow, client-facing tools, a view of your customers and an easy exit.
  • Ask the supplier to show order to invoice and to explain what happens to your cost when volume doubles.

Frequently asked questions

What is a LIMS partner?

A LIMS supplier whose pricing and product are tied to your lab's growth: price follows your volume, and the system helps clients order from you and helps you see your customers.

What is the difference between a LIMS vendor and a LIMS partner?

A vendor sells a licence and moves on. A partner is paid in a way that rises when your lab does more, and offers tools that help you serve and grow clients.

Why does pricing matter when choosing a LIMS partner?

It shows whose interests the contract serves. Pricing that falls per sample as volume grows ties the supplier's income to yours.

Can a LIMS help me win more clients?

A LIMS does not create demand. It makes your lab easier to order from and shows you which customer groups you serve, so you can keep and grow them.
